16 monthsPatient Gateway is a service that enables safe transport for at-risk patients to relevant hospitals or medical centers. With a quick response time and professional patient handling, our client stands as the top medical transportation company in the UK.
The client wanted to switch from a subscriber service to developer their own system with better safety features.
The absence of a comprehensive admin panel created significant challenges for managing, storing, and sharing client information efficiently across key stakeholders.
The business already had experience with a prototype version of a similar solution, but the MVP was too limited to handle the complex patient interactions required by our client. Specifically it didn’t monitor and track the live data required during transportation from a local base to the patient’s location and then on to the hospital.
The client wanted to streamline the workflow by integrating all operational processes into a single admin panel.
The client also wanted to add new features to expand the service functionality, increasing process visibility and patient safety.
The admin panel should allow the administrators to control access to the app by adding, editing, and removing their accounts.
Administrators should allow the creation and management of specific lists (like employee names, vehicle details, operational reasons) for each booking.
The admin should allow team activity related to the assignment to be tracked in real-time.
The admin panel should allow exporting of data to either PDF reports or Excel data files.

Let’s discussA patient becomes at-risk and needs relocating to medical facilities. That could be due to general agitation or entering a crisis condition.
In certain situations, relatives of the person or witnesses might call the police. When police arrive, they assess the situation and call for a patient transfer service.
After the call, the Patient Gateway administrators create a new booking in the admin panel. It includes details of the appointed team (a crew, vehicle, and assignment) and other relevant information.
Once in progress to reach the patient and to transfer them to a safe place, the crew will check further assignment details on their tablet. This allows the administrators to track vehicle locations, assign updates, and provide extra support.
The admin panel allows the formation of a Patient Gateway crew, which consist of a vehicle and associated medical staff. Each team member can also be created individually through the admin panel.
Bookings are created in the admin panel, including details about the booker (the person making the request), the patient’s location, safety requirements, and reasons for the call.
Patient details, including name, gender, and date of birth, are also included.
Bookings can be scheduled for specific times or as immediate requests (ASAP). When a booking is created, the assigned Job team gets notified.
Crew use tablets with special cards to provide real-time patient status updates, including situation changes or updates on the patient’s condition.
Fields for data entry on these cards include:
Job status has four levels. It reminds the team to update status every 30 minutes if anything changes.
The admin can set special safe locations for patients who need extra care.
When transferring the patient to a new team, the person in charge can electronically confirm using an e-signature in the relevant field on the tablet.
